The area you choose shapes everything from how easily delegates arrive to what you will pay for dinner. These are the ones we source across most, and what each is good for.

Lovedale

When the whole program has to sit on one site. Rydges Resort holds the only verified pairing of a plenary above a thousand and 417 rooms, so coaching is only needed for offsite winery activity.

Pokolbin

The densest cluster of cellar doors and event estates, and where most dinners end up. Accommodation is spread across resorts, villas and small retreats rather than concentrated, and everything moves by coach.

Rothbury

The Vintage estate and Chateau Elan. A residential leadership program up to about 330 in plenary that wants golf, a day spa and villa accommodation on one site.

Broke and Fordwich

A quieter sub region for small exclusive use retreats and scenic dinners. Little conference scale accommodation, and it adds transfer time to a program based at Lovedale or Rothbury.

Cessnock

The service town rather than a venue precinct. Relevant for coach staging, budget room stock and supplier access.

Newcastle

Outside the wine country but inside the same catchment, with the airport and the closest urban hotel stock. The fallback when a program needs same day air access.

Worth knowing first

No destination is right for every brief, and the useful conversation is about where the limits are. These are the ones that change a Hunter Valley program most often.

The summer concert season absorbs the room stock

The major estates run outdoor concerts through summer, and a sold out show at Bimbadgen or Hope Estate will take regional accommodation out of the market for that weekend. It is the first calendar we check against your dates.

There is no exhibition floor and no airport

The largest verified room is 1,123 square metres at 4.5 metres, and the exhibition space alongside it is lower again. A program with a trade floor, twenty concurrent breakouts and 800 delegates belongs in Sydney or Newcastle, and a genuine fly in fly out meeting does not belong here at all: this is a two night destination.

Coaching is not optional

The regional tourism authority itself says travel is best by vehicle or organised tour. Every off site dinner is a coached movement, and a program that assumes people will wander between cellar doors will run late on the first night.
