What does a venue sourcing company do?
A venue sourcing company finds, compares and books venues on your behalf. You hand over one brief, the dates, delegate numbers, location and budget, and they research suitable conference venues and hotels, check real availability, negotiate rates and inclusions, and present a shortlist to choose from. At CVBS we also coordinate group accommodation, contracts and suppliers through to the event, so the sourcing and the admin sit with us rather than your team.
Why use an independent venue sourcing company?
An independent venue finder works for you, not for one hotel group, so the recommendation is based on your brief rather than whose rooms need filling. Because we source across the whole market, we can compare options fairly and use long-standing relationships to negotiate. Independence also means honest advice: if a venue is wrong for your event, we will say so, and you will hear the drawbacks as well as the pitch.
How does conference venue sourcing work?
It usually follows four steps. First you send a brief. Then we source and negotiate, checking availability across matching venues and securing rates and inclusions. Next you compare a like-for-like shortlist, normally within 48 hours, with rooms, rates, capacities and trade-offs side by side. Finally we confirm the booking and coordinate accommodation, contracts and suppliers. You stay in control of the decision while we handle the legwork.
How much does venue sourcing cost?
For the client, nothing. Our research, negotiation and coordination are free to you, and our negotiating often leaves you better off than booking directly. Can a venue sourcing company negotiate hotel rates?
Yes. Rate and contract negotiation is a core part of the service. Because we place events with venues regularly and understand current market pricing, we can negotiate day-delegate rates, accommodation rates, room hire, minimum spends and value-adds that are not always offered to one-off bookers. We also negotiate the contract terms, such as deposit schedules and cancellation conditions, to reduce your risk.
What are the benefits of using a venue finder?
You save time, you usually save money, and you make a better-informed decision. Instead of contacting venues one by one, you brief once and receive a curated shortlist. You gain access to negotiated rates and to availability that may not appear on public booking sites, plus expert input on capacity, layout and logistics. For most organisations the biggest benefit is simply getting hours back while still booking the right room.
How long does venue sourcing take?
For most enquiries we provide an initial shortlist within 48 hours. More complex programs, such as multi-day conferences with breakouts, exhibition space and large room blocks, can take a little longer to pull together accurately. If your event is urgent, tell us when you enquire, because our venue relationships often let us move quickly when timing is tight.
What information do I need before sourcing venues?
Just the basics to begin: preferred dates or a date range, approximate delegate numbers, the city or region, and a rough budget. It also helps to know the event type, whether you need accommodation, and any must-haves such as a plenary room of a certain size, breakout rooms, parking or AV. The more you can share, the sharper the shortlist, but we can start with very little and refine as we go.
Do you work Australia wide?
Yes. We source conference venues and accommodation across every state and territory, including Sydney, Melbourne, Brisbane, Perth, Adelaide, Canberra, the Gold Coast, Hobart, Darwin and regional Australia. What types of events do you source venues for?
Conferences, board meetings, seminars and training, corporate functions, gala dinners and awards nights, product launches, exhibitions, team offsites and corporate retreats. We also handle group accommodation and ongoing corporate stays. Whether it is twenty people in a boardroom or hundreds of delegates across several days, the sourcing process is the same.
Do you arrange delegate accommodation as well as the venue?
Yes. Group accommodation is part of what we do. We negotiate and hold room blocks at group rates, often alongside the conference venue as a single arrangement, which usually strengthens the rate on both. Can you organise site inspections before we book?
Yes. If you would like to see a venue before committing, we can arrange and coordinate site inspections, and where helpful we will join you. Inspections are useful for larger or higher-profile events where layout, flow and the feel of the space matter. For straightforward bookings, many clients are comfortable deciding from the shortlist and the detail we provide.
How do you choose which venues to shortlist?
We start from your brief and match on the things that matter: capacity and layout for your format, location and access for your delegates, the right budget band, real availability on your dates, and the inclusions you need such as catering, AV and accommodation. We draw on decades of venue knowledge and current rate data, then present a like-for-like comparison so the trade-offs are clear.
Do you only work with hotels, or other venues too?
Both. Alongside conference hotels we source dedicated convention centres, function venues, unique and heritage spaces, wineries and regional retreats, and purpose-built meeting and training rooms. The right venue depends on your event, your audience and the impression you want to make, so we are not tied to a single type of property or chain.
Can you help with international conferences and incentives?
Yes. While most of our work is within Australia, we regularly source venues and manage logistics for international conferences, incentive programs and offsites, including the Pacific, New Zealand, Asia, Europe and North America. The approach is the same: one brief, a negotiated shortlist, and coordination across accommodation, suppliers and contracts.
What is the difference between a venue finder and a conference organiser (PCO)?
A venue finder focuses on sourcing and securing the right venue and accommodation, then negotiating the commercials. A professional conference organiser (PCO) typically runs the whole event on the day, including program, registration, production and on-site management. CVBS specialises in the sourcing and negotiation side. We can also coordinate suppliers, and we are happy to work alongside an in-house team or a PCO.
How far in advance should we engage a venue sourcing service?
The earlier the better, especially for premium spaces, large room blocks or popular dates, where lead venues book out months ahead. That said, we work to all kinds of timeframes and have turned around venues at short notice through direct relationships. If you have a date and a rough brief, it is worth talking to us, even if the rest is still taking shape.
Is my information kept confidential?
Yes. We treat your brief, budget and event details as confidential and only share what is necessary with venues to obtain accurate quotes, such as dates and delegate numbers. We do not sell your information. If you would prefer us to approach venues without naming your organisation at first, just let us know and we will.
How many venue recommendations will I receive?
Most clients receive a focused shortlist rather than a long list. For a typical conference we present around three to five venues that genuinely match your numbers, dates, budget and format, compared side by side so the differences are easy to see. We would rather send three strong options you can act on than fifteen you have to wade through. If very few venues suit your brief, we will tell you why. If the market is wide open, we can always send more.
Do you charge anything if I don't book?
No. There is no fee for sourcing, no charge for the shortlist, and no obligation to proceed with any venue we suggest. If none of the options are right, or your event is postponed, you owe us nothing. This means the risk sits with us rather than you, which is also why we are careful to send options that genuinely fit your brief rather than padding a list.
Can you work with our preferred venues or existing hotel program?
Yes. If your organisation has preferred venues, a panel or a negotiated hotel program, we can work within it, benchmark against it, or include those properties in the comparison so you can see how they stack up. Some clients use us to confirm their existing arrangements are still competitive. Others ask us to source everything outside their program. Either way, we fit around how your organisation already buys rather than asking you to change it.
What is a day delegate rate?
A day delegate rate, often shortened to DDR, is a per-person, per-day package that conference hotels use to price events. It usually bundles the meeting room, arrival tea and coffee, morning tea, lunch and afternoon tea, and basic audiovisual such as a screen and projector. It makes budgeting simpler because you multiply one rate by your delegate numbers. Always confirm what each DDR includes, because inclusions vary between venues, and extras such as additional AV, Wi-Fi and parking are often quoted separately. We compare these for you on every shortlist.
What is the difference between a conference hotel and a convention centre?
A conference hotel combines meeting space with on-site accommodation, dining and services, which suits events where delegates stay overnight and value everything under one roof. A convention or exhibition centre offers much larger, flexible floor space for big plenaries, trade shows and exhibitions, usually without rooms attached, so accommodation is arranged in nearby hotels. The right choice depends on your delegate numbers, whether you need accommodation on site, and how much exhibition or breakout space your program requires. We help you weigh this against budget and location.
Can you support hybrid or virtual conference requirements?
Yes. Many events now include a virtual audience, so we factor this in when sourcing. We check that a venue has the bandwidth, the in-room audiovisual capability and the technical support to stream or record reliably, and we confirm what is included versus charged. Connectivity is one of the areas where a venue that looks affordable can become expensive, so it pays to pressure-test it early. We can also coordinate audiovisual suppliers alongside the venue so the technical side is handled as part of one arrangement.
What happens after I choose a venue from the shortlist?
Once you have chosen, we move from sourcing to coordination. We confirm the booking, lock in the negotiated rate, and work through the contract detail such as deposits, payment schedule and cancellation terms so there are no surprises. If you need delegate accommodation, we arrange and hold the room block. We can also coordinate suppliers such as catering and audiovisual where helpful. You stay in control of decisions throughout, and you have one point of contact from the brief through to the event.
