Sydney is one of the most competitive venue markets in the country, and the best of it is not on public display. The strongest CBD conference floors and harbourside function spaces book out early and rarely show their real availability, or their best rate, online. We source right across the city, from Circular Quay and Darling Harbour to North Sydney and the airport precinct, and negotiate directly with the people who run them.
Not a list of everything in Sydney. The rooms one of us has walked, when we were there, and what we noticed that a floor plan will not tell you.
The part a capacity chart cannot tell you. A floor plan will give you the square metres. It will not tell you where the pre-function space bottlenecks once the room is full, which loading dock your production crew will struggle with, or how the light falls in the ballroom at four in the afternoon. That is what we are for, and it is the reason we walk these rooms rather than read about them.

Everything above this point is information. It is genuinely useful, and no other venue finder in Australia publishes it. But it is not the thing you are actually buying.
What you are buying is someone who has already had the conversation with the person who holds that room, knows what they will move on and when, and will pick up the phone rather than send you a portal login. Whoever takes your Sydney brief stays your point of contact from the first call through to the final invoice.

Sydney is really six or seven precincts, and the one you choose decides how far people walk, what they do at six o'clock and what the accommodation costs. We start there rather than with a list of rooms.
Every venue has something worth knowing before you sign. A difficult load-in, a low ceiling, a pre-function space that struggles once the room is full. You will hear that from us at shortlist, not on the day.
There is no fee for our service. The sourcing, the local knowledge and the negotiating are all included, and the rate you end up with is usually better than booking direct.
No destination is right for every brief, and the useful conversation is about where the limits are. These are the ones that change a Sydney program most often.
ICC Sydney’s Grand Ballroom at 2,784 is the top of the hotel style market. Beyond that you are choosing between Sydney Showground’s Dome, the Opera House Concert Hall and Sydney Town Hall, none of which are conference buildings, and all of which need a room block sourced separately.
Plenty of Sydney rooms hold those numbers. Far fewer hold the numbers and the delegates in the same building, and the ones that do book out first. If your program is residential in that band, the room block is the thing to secure before the ballroom.
Darling Harbour, the CBD, Circular Quay, Barangaroo, North Sydney and the airport precinct behave like different cities for the purposes of a program. The precinct decides how far delegates walk, what they do at six o’clock and what dinner costs, and it is a bigger decision than the venue.
