Tell Us About Your EventIf you have never used a venue finder, the idea can sound vague. Here is exactly what conference venue sourcing is, how it works, and who pays for it.
What conference venue sourcing means
Conference venue sourcing is the process of finding, comparing, negotiating and booking the right venue for an event on behalf of the organiser. Instead of contacting venues one by one, you give a single brief to a specialist who knows the market. They research suitable venues, check real availability, negotiate the rate and inclusions, and present a shortlist for you to choose from.
How the process works
Most venue finders follow four steps: you send a brief, they source and negotiate, you compare a shortlist, and they confirm and coordinate the booking. At CVBS a shortlist usually lands within 48 hours. The full process is set out on our how it works page.
Is it free for the organiser?
For the organiser, venue sourcing is normally free, and using a finder does not raise the rate you are quoted. We set out our own position on how we're paid.
Why organisers use an independent specialist
An independent finder works for you, not for one hotel group, so the recommendation is based on your brief. You save hours of research, you gain access to negotiated rates and to availability that may not appear online, and you get expert input on capacity, layout and logistics. For many teams the real value is getting the time back.
What you can source this way
Conferences, meetings, training, functions, launches, exhibitions and group accommodation, across every Australian capital and region and overseas. It is not limited to hotels: convention centres, function venues and unique spaces are all in scope.
