Start with the big three
For most events, three lines dominate the budget: the venue, catering, and accommodation. Get realistic numbers on these first, because everything else is smaller and easier to adjust. If delegates stay overnight, accommodation can rival the venue itself, so treat it as a major line, not an afterthought.
Day-delegate rate or room hire plus minimum spend
Conference hotels usually price per delegate, per day, bundling the room, catering and basic AV. Functions and dinners are often priced as room hire plus a minimum food-and-beverage spend instead. The line items people underestimate
- AV beyond the basics: technicians, screens, staging, streaming
- Wi-Fi and bandwidth for large or hybrid events
- Parking, transfers and delegate travel
- Service charges and public-holiday loadings
- Speaker fees, travel and accommodation
- Printing, signage and on-site staff
Build in contingency
Numbers move. Delegate counts shift, scope creeps, and quotes firm up closer to the date. A contingency line of around five to ten per cent gives you room to absorb that without reopening approvals. It is easier to release contingency than to ask for more budget late.
Where the savings actually are
Rates move with season, day of week and how much business you bring. Midweek and shoulder-season dates cost less. Bundling group accommodation with the venue usually improves both rates. And venues quote agents better than the public, because they want the repeat business, which is part of why an independent finder often pays for itself.

- Venue: room hire or day-delegate rate
- Catering: meals, breaks, any dinner or gala
- Accommodation: delegate and speaker rooms
- AV and production
- Travel and transfers
- Speakers and program
- Collateral, signage and staff
- Contingency (five to ten per cent)
