1. Start with capacity and layout, not the photos
A room's "capacity" depends entirely on the setup. A space that holds 200 theatre-style might seat 90 for a banquet or 70 cabaret. Before anything else, confirm the layout your program needs, plenary, breakouts, exhibition, catering flow, and the real capacity in that configuration.
2. Location is a delegate-experience decision
Proximity to airports, public transport and accommodation affects attendance and start times more than most planners expect. If delegates are flying in, a CBD or airport-precinct venue can be worth more than a cheaper option an hour away. See how this plays out in Sydney, Melbourne and Brisbane.
3. Get the full cost, not the headline rate
Day-delegate rates rarely tell the whole story. Ask about room hire, minimum spends, AV, Wi-Fi, parking and service charges up front. We break this down in how much a conference venue costs in Australia.
4. Bundle accommodation early
If delegates need rooms, negotiating group accommodation alongside the venue usually strengthens your rate on both. Don't treat them as separate bookings.
5. Pressure-test AV and connectivity
Confirm what's included versus charged, the in-house AV provider's rates, and whether the room can handle your streaming or hybrid needs. This is where "cheap" venues get expensive.
6. Ask the questions planners forget
- What else is booked in the building on your dates?
- What's the cancellation and attrition policy?
- Who is your on-the-day contact?
- Is the space genuinely accessible for all delegates?
